Job Description:
Wolf Connection is looking for a highly organized and detail-oriented Administrative Assistant to assist our Director of Programs and the Program Department.
This is a full time, hourly position.
Wolf Connection programs are rooted in the ancestral bond between wolves and humans, and the power of the pack dynamics.
Services span on-site, off-site and virtual education and empowerment programs, primarily with youth and including some adult offerings.
The impact of Wolf Therapy is demonstrated by participants realizing their resilience, resourcefulness, and relationship to all that surrounds them.
The Administrative Assistant's role is critical to ensuring that the programs are implemented with integrity and care from inception to completion.
Responsibilities:
? Communication and Coordination:
Initiate and complete communication (phone and email) with partners and internal team to ensure successful coordination of program activities.
? Confidential Documentation:
Accurately document program essential records, and maintain organized files (both paper and digital), ensuring integrity and confidentiality.
? Scheduling and Calendar Management:
Oversee program calendar including 8-week program schedule and staffing, single day programs, and meetings in coordination with internal and external stakeholders.
? Meeting Support:
Prepare meeting agendas, take minutes, and distribute materials as needed.
Follow up on action items and deadlines to ensure effective communication and coordination.
? Program Deliverables:
Track deliverables for Director of Programs and Program Department and ensure deadlines are met.
? Contract Administration:
Work with the Director of Programs, financial team, and partners to manage contract execution, invoices and payments, insurance and reporting.
? Program Evaluation Support:
Serve as a liaison to evaluation consultants and support internal evaluations for program team members and processes.
? Financial Support:
Assist in processing program-related expenses, maintaining budget records, and collaborating with the financial team.
? Employee Onboarding and Payroll:
Collaborate with Human Resources to ensure successful onboarding, and biweekly payroll processing for Program Staff Members.
? Messaging and Marketing:
Monitor and contribute to website, virtual and printed materials such that up-to-date and accurate information regarding program offerings and impact is available to partners and the public.
? Team Morale:
Actively contribute to the social and emotional health of the program team and organization at large by practicing ownership, integrity, empathy and direct communication ? General Assistance:
Provide additional administrative support to the Program Department as needed.
? Assist with purchasing supplies for the department.
Qualifications & Skills:
Seeking a detail oriented individual who can anticipate needs and work independently without continual oversight.
This position directly reports to and is in support of the Director of Programs.
As a non-profit, we work with many government and private agencies, general knowledge of contracts and invoicing is imperative for success.
Basic budgeting and project management will be required.

These skills include but are not limited to:
? High school diploma or equivalent; additional education or certifications in administration or related fields are a plus.
? Proven experience as an administrative assistant or in a similar role, preferably in a non-profit or community-based organization.
? Proficiency in office software (e.
g.
, Microsoft Office Suite, Google Workspace) and familiarity with project management software and design tools.
? Excellent organizational and time-management skills, with the ability to handle multiple tasks and deadlines effectively.
? Strong attention to detail and accuracy in documentation.
? Excellent written and verbal communication skills, with a friendly and professional demeanor.
? Ability to work both independently and collaboratively in a team environment.

LOCATION This position will hybrid in nature with the expectation to be on-site three days per week.
Wolf Connection is located in the Angeles National Forest between Acton and Palmdale, CA.
